What Does It Mean to Be an Author Today?

Creation, Human Intervention, and Responsibility in the Age of Artificial Intelligence

Second Ibero-American Congress on Authorship in the Age of Artificial Intelligence

Published by Servicios Editoriales Pinar Publisher LLC

These guidelines are intended for Congress presenters who, once their participation has been accepted, wish to submit a manuscript for editorial consideration in the edited volume. Submission of a manuscript is voluntary and constitutes a separate stage from participation as a presenter.

1. Purpose of These Guidelines

These guidelines govern the preparation and submission of manuscripts for editorial consideration in the edited volume arising from the Congress.

Acceptance of a proposal for presentation at the Congress does not imply automatic acceptance of the manuscript for publication. Editorial evaluation of manuscripts is conducted by Servicios Editoriales Pinar Publisher LLC and is a separate process from the evaluation carried out by the Advisory and Evaluation Committee for the open call for proposals. There is no external editorial review.

2. Interdisciplinary Character

The volume brings together contributions from different disciplines, professional fields, and practices of writing and creation. No single methodological structure is required.

Depending on their nature, submissions may take forms such as:

  • academic or critical essay;
  • reflective article;
  • legal analysis;
  • case study;
  • research paper;
  • professional reflection;
  • literary or authorial essay;
  • cultural, editorial, educational, or communication analysis;
  • other forms relevant to the central theme of the volume.

In all cases, clear exposition, coherent argumentation, appropriate attribution of sources, and author responsibility for the submitted content are expected.

3. Relationship to the Accepted Proposal

The manuscript must maintain a substantial relationship to the proposal accepted for presentation at the Congress. It may develop, expand, reorganize, or deepen the ideas initially presented. The written text does not need to reproduce the oral presentation verbatim.

4. Reuse and Development of Previous Work

Authors may submit manuscripts that develop, rework, or adapt ideas, research, presentations, chapters, books, articles, or other previous work of their own, provided that the manuscript corresponds to the topic presented by the presenter at the Congress.

The existence of an earlier version or prior development does not in itself prevent editorial consideration. When a manuscript derives substantially from work that has previously been published or otherwise disseminated, the author must briefly disclose this at the time of submission.

The author is responsible for verifying that they hold the rights necessary to reuse any previously published content. Substantial reproduction of material for which the author has transferred rights that are incompatible with reuse will not be accepted.

5. Length

The main text may not exceed 3,500 words.

The following are not included in this word count:

  • the abstract;
  • keywords;
  • footnotes;
  • the bibliography;
  • the statement on the use of artificial intelligence.

Authors are encouraged to avoid unnecessary length and to prioritize clarity, development of the argument, and relevance to the theme of the volume.

6. Manuscript Elements

Title: Clear, precise, and related to the content of the work.

Author name(s): First and last name(s) exactly as they should appear in the publication.

Affiliation: Institution, organization, or professional activity, when applicable. The absence of an academic or institutional affiliation does not prevent publication.

Country: The country with which the author wishes to be identified.

Email: For editorial communications.

ORCID: Optional.

Abstract: 150–200 words. It should clearly present the purpose, approach, and principal content of the work.

Keywords: 4–6 words or key phrases.

Main text: Up to 3,500 words.

Bibliography: Include only sources actually used or cited in the work.

Biographical note: A brief note of approximately 80–120 words.

7. Internal Organization

The structure should reflect the nature of the work. Subheadings may be used when they help organize the content.

A uniform structure such as introduction, methodology, results, and conclusions is not required. Academic, legal, critical, professional, essayistic, or authorial works may be organized according to the conventions most appropriate to their discipline or approach.

Authors are encouraged to avoid excessive fragmentation through numerous short subheadings.

8. Citation and Reference System

The volume will use the Chicago Manual of Style, 18th edition — Notes and Bibliography as its general reference system.

Sources cited in the manuscript should be documented through footnotes and a final bibliography.

The first citation of a source should provide sufficient bibliographic information to identify it. Subsequent citations of the same source may use a shortened form.

Authors are not expected to memorize every Chicago convention. Particular importance will be given to consistency in the citation system, proper attribution of sources, and the ability to identify and verify them clearly.

9. Quotations, Paraphrases, and Sources

All direct quotations must be properly identified. Ideas, data, arguments, or formulations drawn from other sources must be attributed when appropriate.

Authors are responsible for:

  • the accuracy of quotations;
  • the existence and correct identification of sources;
  • the data included in the manuscript;
  • bibliographic references;
  • proper attribution of the ideas of others.

Nonexistent, incomplete, or unverified references must not be included.

10. Use of Artificial Intelligence

A statement regarding the use of generative artificial intelligence tools is mandatory for all manuscripts.

Use of these tools does not in itself constitute grounds for exclusion. Evaluation will focus on authorship, responsibility for the content, integrity of the work, and appropriate attribution and verification of sources.

Authors will not be required to detail every intervention, instruction, conversation, or exchange carried out with artificial intelligence tools.

The statement should be brief and should appear at the end of the manuscript, before the bibliography.

When Generative Artificial Intelligence Has Not Been Used

Statement on the use of artificial intelligence: No generative artificial intelligence tools were used in the preparation of this manuscript.

When Generative Artificial Intelligence Has Been Used

Statement on the use of artificial intelligence: Generative artificial intelligence tools were used as support during the preparation of this manuscript. The author retains responsibility for the content, intellectual decisions, argumentation, verification of sources, and the final version submitted.

When relevant, the author may indicate in general terms the type of support received, for example: language revision, text organization, translation, idea exploration, synthesis, or other auxiliary tasks.

There is no requirement to provide prompts, conversation logs, or exhaustive descriptions of the use process. Artificial intelligence tools may not be listed as authors or co-authors of the work.

11. Tables, Charts, and Images

Tables, charts, photographs, and images should be avoided unless they are essential to the understanding, demonstration, or argumentation of the work.

Their inclusion is subject to editorial assessment. When necessary, they must serve a clear function within the text, be identified, include a title and source, be of sufficient quality for publication, and have the required permissions when protected by third-party rights.

The author is responsible for obtaining reproduction permissions.

12. Third-Party Materials

The author is responsible for obtaining any permissions necessary to reproduce protected materials, including substantial text excerpts, photographs, illustrations, charts, tables, works of art, screenshots, or other materials subject to copyright.

The publisher may request documentation confirming the relevant permissions.

13. File Format

The manuscript must be submitted in Microsoft Word (.docx) format.

The following are recommended:

  • a common, readable typeface;
  • 12-point type;
  • 1.5 line spacing;
  • standard margins;
  • numbered pages;
  • automatic footnotes;
  • avoid complex formatting;
  • do not use manual tabs to create indentation or alignment;
  • do not use unnecessary page or section breaks.

Final layout and typesetting will be the responsibility of the publisher.

14. Language Review

Authors must submit fully revised manuscripts. Each author is responsible for spelling, grammar, syntax, bibliography, and terminology.

Servicios Editoriales Pinar Publisher LLC will perform the editorial work inherent to the publication process but will not undertake complete rewriting of manuscripts or individually bring each manuscript into full compliance with these guidelines.

15. Editorial Evaluation

Manuscripts will be reviewed with regard to, among other aspects:

  • correspondence with the accepted proposal;
  • relationship to the central theme of the volume;
  • clarity and coherence;
  • quality of argumentation or exposition;
  • appropriate use and attribution of sources;
  • authorship and integrity;
  • compliance with the editorial guidelines;
  • conditions necessary for publication.

The publisher may accept the manuscript, request modifications, return it for revision, or decline publication. A request for modifications does not constitute final acceptance.

16. Copyright

Each author retains copyright in their work.

Submission of the manuscript for evaluation does not constitute an assignment or transfer of copyright to Servicios Editoriales Pinar Publisher LLC.

The author is responsible for holding the necessary rights or permissions for texts, images, substantial quotations, or other third-party materials included in the manuscript.

Each author may, if they wish, individually register their work with the appropriate copyright office or authority. Such registration is the author’s responsibility and is not a requirement for editorial consideration of the manuscript.

17. Participation in the Edited Volume and Publication Agreement

Participation in the edited volume is optional. Each presenter may decide whether to submit a manuscript for editorial consideration. Editorial acceptance of a manuscript does not by itself result in its automatic inclusion in the edited volume.

There is no cost to the author for inclusion of their work in the edited volume.

Once the author expressly indicates their interest in participating in the publication and the manuscript has received final acceptance, Servicios Editoriales Pinar Publisher LLC and each author will enter into an individual publication agreement.

The agreement will establish the specific conditions governing inclusion of the work in the edited volume. Among other matters, and without this list being exhaustive, it will address:

  • authorization for Servicios Editoriales Pinar Publisher LLC to carry out the necessary editorial work, including review, correction, editorial suggestions, style normalization, typesetting, and preparation of the final file;
  • the grant to Servicios Editoriales Pinar Publisher LLC of a non-exclusive license with the permissions necessary to review, edit, correct, typeset, reproduce, and publish the work as part of the edited volume through Amazon KDP, exclusively in print-on-demand format;
  • the author’s retention of copyright in their work;
  • the collective nature of the publication and the continued inclusion of the chapter in that edition of the volume once published;
  • the inability to withdraw an individual chapter once the volume has been published;
  • the conditions and deadlines that apply if an author decides to withdraw the manuscript before publication;
  • the opportunity for the author to review the final version of the chapter before final typesetting is closed, within the deadline established by the publisher;
  • the author’s responsibility for authorship, accuracy of the content, quotations, references, permissions, and third-party materials;
  • the absence of individual royalties for participation in the edited volume;
  • the administration by Servicios Editoriales Pinar Publisher LLC of any net income generated by the publication, to be used for editorial, production, and management costs, as well as for the continuity of future editions and activities associated with the Congress;
  • the delivery to all authors of a PDF copy of the definitive version of their chapter, exactly as published, for their personal files and records;
  • the option to request printed copies of the volume at the printing cost available to the publisher through Amazon KDP, plus applicable shipping costs, taxes, or other charges. Servicios Editoriales Pinar Publisher LLC will assist participating authors with the process of obtaining these copies.

Signing the publication agreement will be required before the manuscript can be definitively included in the volume.

18. Author Responsibility

Submission of the manuscript means that the author assumes responsibility for:

  • their authorship;
  • their content;
  • the accuracy of the information;
  • quotations and references;
  • the use of third-party materials;
  • the necessary permissions;
  • the statement regarding the use of artificial intelligence;
  • compliance with these guidelines.

19. Submission Deadline

Deadline for manuscript submission: September 1, 2027.

Manuscripts received after this date may be excluded from the editorial process for the volume. When modifications are requested, the publisher will notify the author individually of the deadline for resubmission.
